We are seeking a Service Coordinator responsible for the effective management of new service orders; in addition to internal and external customer’s requests for price quotes, work orders, order changes, adjustments, cancellations, order tracking, and returns. Excellent project management skills, strong attention to detail, and analytical ability is a must; must be flexible, self-starter, ability to prioritize and juggle multiple competing tasks and demands; ability to interact and communicate with individuals at all levels of organization; able to work both independently and as a team member in a diverse workforce. Must be detailed oriented and have excellent follow up skills. Must have previous customer service experience and the energy and desire to work in a dynamic, fast-paced environment. Excellent verbal and written communication skills. Ability to effectively present information and respond to questions from groups of managers, clients, and customers is a must.
Job Requirements
Answer and return all calls promptly and professionally; ensure all faxes, voicemails, and emails are responded to daily.
Create work orders for new service requests.
Confirm POs, credit, and billing information prior to dispatching.
Determine lead-time to produce all elements in a given job and confirming order completeness.
Accurate data entry of quotes, orders, distribution lists, shipping lists & billing lists; verifies pertinent data.
Regularly update service schedule to reflect job status and distributes to all interested parties on a regular basis.
Collects and inputs technician timecards daily.
Issue credits as directed by supervisor.
Keep current all price sheets, quotations, service schedule.
Communicate customer concerns and requirements to management.
Ensure correct codes are used to retrieve customer information, stock, and order status.
Assist in develop training documents and desktop procedures.
Maintain a professional demeanor in a high pace environment.
Strong follow-up skills and a demonstrated ability to work independently.
Act as back up for Receptionist.
Other projects and duties as assigned.
Minimum of 3 years experience in customer service and managing multiple projects.
High School diploma or equivalent.
College course work preferred.
Bilingual in English/Spanish a plus.
